North Shore Pros ("we," "us," or "our") provides property maintenance services for short-term vacation rental properties on the North Shore of Oahu. This policy explains what information we collect through northshorepros.net and in the course of serving our customers, how we use it, and how we protect it.
## Information We Collect
Information you give us. When you submit a form on our site or contact us by phone, text, or email, we collect the information you provide — typically your name, email address, phone number, property address, and a description of what you need.
Information collected automatically. Our hosting provider records standard technical data such as IP address, browser type, pages visited, and referring site. This is used for security and to understand which pages are useful.
Customer records. Once we begin work for you, we maintain records related to that work: property details, inspection and maintenance history, photos of work performed, scheduling information, invoices, and payment status.
## How We Use Your Information
We use this information to:
- Respond to inquiries and provide quotes
- Schedule, perform, and document maintenance and inspection work
- Communicate with you about your property
- Prepare and send invoices and process payments
- Maintain business and tax records
- Improve our website and services
We do not use your information for advertising or sell it to anyone.
## How We Share Information
We do not sell, rent, or trade your personal information.
We share information only in these situations:
- Service providers. We use third-party platforms to run the business, including form and intake tools, a database, workflow automation software, accounting software (QuickBooks Online), calendar and email services, and our website host. These providers process information on our behalf and are not permitted to use it for their own purposes.
- Contractors. When a job requires a contractor, we share the details necessary to complete the work — typically the property address, access instructions, and a description of the issue.
- Legal requirements. We may disclose information if required by law or to protect our legal rights.
## How We Protect Information
- Information is transmitted over encrypted HTTPS connections.
- Access to our systems is limited to North Shore Pros personnel and, where necessary, specific contractors assigned to a job.
- Accounts are protected by unique passwords, with multi-factor authentication enabled where the platform supports it.
- API credentials and authorization tokens used to connect our internal systems are stored encrypted and are not shared outside the company.
No system is perfectly secure, but we take reasonable steps to safeguard the information we hold.
## Internal Systems and Accounting
We use connected software to move information between our intake forms, our internal records, and our accounting system so that work is scheduled and invoiced accurately. These connections are internal tools used only by North Shore Pros. They access only our own business records and are not available to the public or to any third party.
## Photographs of Completed Work
We photograph maintenance and inspection work as part of our documentation and invoicing process. With the property owner's or manager's permission, we may also use these photographs to show examples of our work on our website, in proposals, and on social media.
Before any photograph is published, we remove or obscure details that could identify the property or its occupants, including house numbers, street signs, mail, vehicles, and personal belongings. We never publish a property address, an owner's name, or a customer's name alongside a photograph.
If you are a customer and prefer that we not use photographs of your property for any purpose beyond your own service records, tell us at any time and we will exclude them. If a photograph has already been published, we will remove it on request.
## Data Retention
We keep customer and business records for as long as needed to provide our services and to meet recordkeeping and tax obligations. Records are deleted when they are no longer required for those purposes.
## Your Choices
You may ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. We will honor deletion requests except where we are required to retain records for legal or tax reasons. You may also opt out of non-essential communications at any time by replying to any message or contacting us directly.
## Cookies
Our site uses only the cookies necessary for it to function and for basic security. We do not use advertising or cross-site tracking cookies.
## Children's Privacy
Our services are directed to property owners and managers. We do not knowingly collect information from children.
## Changes to This Policy
We may update this policy as our services and systems change. The revision date at the top reflects the most recent version.
